Section 1: Getting started — your first roadshow

Scheduling your first roadshow on meetings-schedule.com

  1. Create the roadshow. From your Dashboard, click "Create Roadshow." Choose the Client you're scheduling for, name the roadshow, and add a short description (up to 2,000 characters) — this description appears in the invitation your Investors and Advisors receive, so use it to introduce the Client and the purpose of the meetings.

  2. Add your Schedule Blocks. A Schedule Block is a day (or set of time slots) with its own date, time window, and location. If meetings on different days happen in different places (e.g. Day 1 in Sydney, Day 2 in Melbourne), add a separate Schedule Block for each. The location you set here becomes the default meeting address shown to Investors when they book that day.

  3. Publish the roadshow. A new roadshow starts in Draft and isn't visible to anyone outside your account. When you're ready for Investors to be able to book, click "Publish" on the roadshow's page. This step is required — a roadshow left in Draft will show as unavailable to anyone who receives the link.

  4. Set individual locations if needed. If a specific Investor is meeting somewhere different from the day's default (a different hotel, a private office), you can add that address directly to their invitation. It will override the Schedule Block's default for that one Investor only.

  5. Share the Schedule link. Once published, copy the roadshow's Schedule link and send it to your Investors and Advisors (by email, or however you'd normally reach them). They'll use this one link to pick a time and confirm their own booking — you don't need to invite each person individually through the platform.

  6. Track confirmations. As Investors book, you'll see them appear on the roadshow's page once they've actually confirmed a time (not just been sent the link). You'll also get an email copy of every booking confirmation, including any note the Investor added when booking.

  7. Download the schedule as a PDF anytime. Useful for sharing with the Client directly — includes the roadshow's location, Client name, and an Organiser field you can fill in with your own company name.

Section 2: Frequently asked questions

Why can't my Investors see the roadshow / why does it say "not currently available"? The roadshow is still in Draft. Go to the roadshow's page and click "Publish" — until then, the Schedule link won't accept bookings.

Can I use one meeting location for the whole roadshow, or does every day need its own address? Both work. Set a location once at the Schedule Block level and every day can share it, or give each Schedule Block (each day) its own address if the roadshow moves between venues.

One of my Investors needs a different address from everyone else that day — how do I do that? Add the address directly to that Investor's invitation. It only applies to them; everyone else still sees the day's default location.

Where does the note an Investor types when booking go? It's included in the booking confirmation email that both you and the Investor receive — not shown anywhere else on the platform. This is deliberate: meeting-specific details stay in your own inbox rather than needing to be checked on a separate dashboard.

Why does my Participants list only show some Investors and not others? The Participants list shows Investors who have actually confirmed a booking — not everyone you've sent the link to. Advisors are shown regardless of booking status.

Can I edit the roadshow description after publishing? Yes — it can be edited any time from the roadshow's detail page, and the updated description will appear in any invitations sent afterward.

What virtual meeting options are supported? Google Meet and Zoom are both integrated — connect them from your Account/Integrations page and select the option when setting up a Schedule Block.

I still have a question that's not answered here. Email support@meetings-schedule.com and we'll help directly.
